Organizing Photos

Every item in RailScanPro can have up to 20 photos. This guide covers how to manage those photos so your inventory looks its best and AI recognition has the strongest possible source material.

Setting the Primary Photo

The primary photo is what appears in list views, reports, and on your public page.

  1. Open an item and go to the Photos tab
  2. Hover over any photo and click the Star icon to make it primary
  3. The primary photo moves to the first position

Choose a clean left-side shot at eye level as your primary — this is also the best photo for AI re-recognition if you ever correct a misidentification.

Reordering Photos

Drag photos in the Photos tab to reorder them. Order matters for:

  • How they appear in the photo carousel on the item detail page
  • The sequence shown in your public gallery
  • The PDF insurance report (primary photo appears prominently, others as thumbnails)

Deleting Photos

Hover any photo and click the trash icon. Deleted photos are moved to a trash bin for 30 days (90 days for Founding Members) before permanent deletion. To recover:

  1. Go to Asset Management → Deleted Photos
  2. Find the photo and click Restore

Replacing the AI Source Photo

If you want the AI to re-analyze an item using a better photo:

  1. Go to the item's Photos tab
  2. Upload a better photo
  3. Click the new photo's AI Scan button
  4. The AI re-processes this specific photo and updates its confidence data for the item

Duplicate Photos

The bulk upload tool flags visually similar photos automatically. A Duplicates Review panel shows side-by-side comparisons — you choose which to keep.

Photo Quality Indicators

Each photo has a small quality indicator dot:

  • Green — good resolution and focus for AI purposes
  • Yellow — acceptable but could be better
  • Red — poor quality; AI will not use this as a primary recognition source

Low-quality photos can stay in your gallery for personal reference — they just won't be used as the AI's first-choice source.

If you've enabled a public page, you control which items and which specific photos are visible to the public:

  1. Open an item → Photos tab → toggle Public on/off per photo
  2. Or at the item level: Settings → Public Page → Item Visibility

By default, all items on your public page are visible but only you can see photos. You explicitly enable photo visibility per item or in bulk.
