Your First 5 Minutes with RailScanPro

This guide walks you through the most important steps when you first open RailScanPro so you get real value immediately.

Step 1 — Complete Your Profile

After signing in for the first time, head to Settings → Profile and fill in:

  • Railroad name — what do you call your layout or collection? (e.g., "WagnerLines HO")
  • Primary scale — HO, N, O, G, Z, or another scale
  • Location — helps the community and marketplace connect you with nearby collectors

This takes about 60 seconds and unlocks personalized suggestions throughout the app.

Step 2 — Add Your First Item

Navigate to Asset Management and click Add Item. You have three options:

  1. AI Photo Scan — Drag-and-drop or snap a photo. The AI reads manufacturer markings, road name, road number, and scale from the image and pre-fills the form. This is the fastest path for most items.
  2. Manual Entry — Type in manufacturer, model, road name, and other details yourself. Good for items with no visible markings.
  3. Import — If you already have a spreadsheet of your inventory, see the Importing from Excel/CSV guide.

Step 3 — Explore Your Dashboard

Your Workspace dashboard is fully customizable. The default layout shows:

  • Collection summary — total items, estimated value, items on the layout vs. in storage
  • Recent activity — last items added or updated
  • Casey AI assistant — ask any question about your inventory or the hobby

Step 4 — Generate a QR Code Label

Open any item you just added, click QR Code, and print the label. Stick it on the bottom of the locomotive or inside the box. Next time you pick it up, a quick scan from the mobile app pulls up the full record instantly.

Step 5 — Download the Mobile App

The RailScanPro mobile app (iOS and Android) lets you scan QR codes, add items by photo from the layout room floor, and check inventory without opening a laptop. Search "RailScanPro" in the App Store or Google Play.
