Managing Storage Locations

Storage locations answer the question every collector eventually asks: "Where is that Athearn SD40-2 I know I have somewhere?" With RailScanPro's location system, the answer is always one search away.

Setting Up Locations

Creating Location Records

  1. Go to Settings → Locations → Add Location
  2. Give it a descriptive name — be specific enough to find it in real life:
    • "Layout Room — Cabinet A, Top Shelf"
    • "Spare Bedroom — Cardboard Box #3 (HO Steam)"
    • "Display Case — South Wall"
    • "On Layout — Main Line"
  3. Optionally assign it to a Room (Layout Room, Storage Closet, etc.) to group locations together
  4. Save

You can create as many locations as you need. Most collectors maintain 5–20.

A Suggested Location Hierarchy

For a typical HO layout room setup:

  • On Layout — anything currently on the trackwork
  • Staging — in staging yards, ready to run
  • Maintenance Bench — being worked on
  • Display Case — on permanent display, not running
  • Storage Cabinet A — ready-to-run off-layout
  • Storage Cabinet B — second shelf
  • Original Boxes — still in original packaging
  • Museum Display — for club/museum layouts

Assigning Items to Locations

From the item detail page:

  1. Open any item
  2. Click the Location field
  3. Select from your location list

From the mobile app:

  1. Scan the item's QR code
  2. Tap Location → Update
  3. Choose the new location

Bulk assignment:

  1. Select multiple items with checkboxes in Asset Management
  2. Click Actions → Set Location
  3. Choose a location — all selected items are updated at once

Viewing Items by Location

Go to Settings → Locations and click any location to see every item currently assigned to it. This is the "what's in Box #3" view you'll use every time you reorganize storage.

Location History

RailScanPro tracks when each item moved between locations. The Location History tab on any item detail page shows:

  • Date and time of each move
  • Which user made the change (important for clubs)

Printing Location Reports

Need a paper inventory sorted by shelf?

  1. Go to Reports → Location Report
  2. Select a specific location or all locations
  3. Download as PDF or CSV

This is useful for insurance documentation or handing off a storage cabinet to another club member.
